Volunteers
All families are required to provide at least one volunteer for any and all meets where your swimmer competes. We cannot run a swim meet without volunteers.
Some positions require training. Please note that you may be assigned to volunteer positions that do not require any special training and are not listed below such as timer, concession clerk, safety marshal, or relay coordinator.
When you arrive at a meet, please check in with Mike Arnold to confirm your volunteer position for the night, and receive any additional instructions.
RSL Training
Training has been created for all our volunteer requirements with the exception of timer (no training required for timers). All positions are required to complete training for the 2025 season (this is an annual requirement).
2025 Waiver Requests for USAS/VHSL Trained Positions. As in the past years, for certain positions that have undergone the trainings provided by USA Swimming or the Virginia High School League, a waiver request can be submitted to the RSL by using the link to submit their forms and documentation: 2025 RSL Training
3. Head Timer. We need a minimum of 3 Head Timers.
4. Clerk of Course. We need a minimum of 6 Clerk of Course trained volunteers.
5. Starter. We need a minimum of 5 trained starters.
Job Descriptions
The following are descriptions of jobs we need at home and away meets: Please note: jobs will be assigned and filled by priority to make the swim meet run successfully. Some jobs may be deleted in favor of higher priority jobs.
- Announcer/DJ - Must be comfortable using microphone over speaker to announce events to report to clerk of course as well as missing swimmers. No training needed. This job is outside the whole time.
- Awards - This person will sit in the lobby of the Y and match label stickers to ribbons for both teams. It can be done by an older swimmer or older non-swimming sibling. No training needed.
- Clean Up Crew - Stays at the end of the meet to help clean up the parking lot and put away all meet related equipment no training needed. It is a late night job.
- Clerk of Course - Organizes swimmers in the correct event, heat, and lane. Online training required.
- Concessions - Sells food and drinks/other items to help raise money for the team no training required; please only sign up if ALL OTHER POSITIONS ARE FULL.
- Data - Monitors and operates the laptop- usually in an air conditioned venue; runs reports and verifies data for each event. Coordinates meet updates with the tablet manager.
- Head Referee - Makes all final decisions and ensures safety. Keeps the meet running on schedule. Checks for conflicts.This is a trained volunteer position with prior experience.
- Starter - Announces the event/heats and operates the starter strobe/speaker
- Head Timer - Uses 2 stop watches to time each event. Helps timers if they have an issue with their stopwatch. Online training required.
- Relay Coordinator - Organizes swimmers for the free and medley relays. No training class required.
- Stroke & Turn - Ensures that swimmers follow all the rules for a legal swim. Requires Stroke and Turn certification.
- Timer - Uses a time drops button to time each swimmer's time in their assigned lane. Writes time on heat sheet to send to data. No training required. One timer will also have a stopwatch and another timer will also have a clipboard for writing. 3 total timers per lane (mixed teams)
- TimeDrops Tablet Manager: Manages the tablet associated with our new timing system next to the starter and referee on the pool deck to make necessary adjustments and/or alert officials to issues if/should they arise
